The Administrative Coordinator is responsible for administrative and project management across the organization. This person will provide support to the Executive Director and other members of the Leadership Team, and will be supervised by the Development & Communications Manager.

The Administrative Coordinator fulfills an important role to ensure sustainability and consistency across Free Spirit Media.
The ideal candidate will be highly organized, able to thrive in a fast-paced environment and be able to handle multiple projects at one time.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Provide administrative, scheduling and communications support for Executive Director
Support meetings of Staff, Board of Directors and committees, including scheduling, room prep, food coordination and clean up
Maintain donor database and oversee process for acknowledgment letters
Manage FSM Office facilities and reception needs
Maintain system for ordering and storing office supplies
Prep incoming bills and outgoing checks for Operations Manager
Manage inquiries through the org-wide informational email account
Track completion of credit card reconciliations and mileage reimbursement
Manage instructor sub requests and assignments for in-school and out of school time
programs

Support organization-wide file management in shared drive (curriculum documents, financial forms, ASM tracking forms)
Provide transportation support for programmatic needs (interviews, field trips)
Ensure organization-wide evaluation compliance–survey building and analysis of results

Ensure compliance for programmatic reports and dashboards

Qualifications, Education and/or Experience

A minimum of two years of administrative or operations experience, preferably in a non-profit setting

Excellent computer skills and proficiency in Microsoft Excel, Word, Google products, CRM
databases, CitySpan
Excellent verbal and written communication skills
Excellent organizational and project management skills
Ability to handle multiple projects at once with strong follow-up skills
Demonstrated interest in Free Spirit Media’s mission and commitment to social justice
Work Requirements
This is a full- time position. Hours may exceed 40 hours per/week.
Some evenings and weekends are required. Free Spirit Media is an equal opportunity employer. Ability to drive and access to a reliable vehicle is strongly recommended.
Compensation & Benefits:
Salary: Competitive and commensurate with education and experience; Range $
32,000-$38,000
Benefits: Competitive package including healthcare, dental, and vision; IRA match after 1 year
Paid Time Off: 18 days accrued during first year in addition to paid holidays
